The operation within CM Trans is meticulous in every action. The following procedure happens daily:
- An availability study of vehicles is done by operations before planning for the next day. Planning is always done a day before to achieve the best productivity without disappointment.
- Planning focuses on conducting research of the most profitable loads that could be performed daily across the list of customers that CM Trans services.
- Once all the loads have been gathered, loads are being allocated to each truck for their daily schedule/load plan. Vehicle details are submitted to customers as well to ensure that the right truck arrives to load the correct load planned for safety and record purposes.
- Once the daily plan has been finalised, the plan is then executed on the day the plan is set out for. Instructions are being sent out on time to the drivers via Whatsapp group forums created by CM Trans Operations Management.
- Drivers update the forums regularly by following the steps of communication in CM Trans set out by Management. The steps are as follows:
- Step 1: Driver needs to update the forum when the driver arrives at the customer to load. Driver needs to post Km’s of the truck upon arrival. Driver needs to give 30-minute updates when waiting to load should there be any queues or delays. Driver needs to update the forum when the customer starts to load.
- Step 2: Once done loading, driver needs to post pictures in the forum of the cargo strapped up as well as all documentation given to the driver by the customer that is loading. Driver cannot leave the loading point unless completing the above request and given an instruction by operations to do so.
- Step 3: Driver should keep the forum updated via a Voice Note. No typing and driving will be allowed. This will only be done upon the operation’s request or by other parties operating in the forum.
- Step 4: Driver needs to update the forum when the driver arrives at the customer to offload. Driver needs to post Km’s of the truck upon arrival. Driver needs to give 30-minute updates when waiting to offload should there be any queues or delays. Driver needs to update the forum when the customer starts to offload.
- Step 5: Once done offloading, driver needs to post pictures in the forum of all the documentation given to the driver by the customer that is offloading. All documentation needs to be signed and stamped by the customer. If the customer has no stamp, the customer needs to endorse all documentation accordingly. If customer has no stamp, the customer needs to provide a signed GRV. Driver cannot leave the offloading point unless completing the above request and given an instruction by operations to do so.
- The above steps are repeated on every load planned out for the truck to achieve the best possible service given with very low margins for error.
- Clients are always updated frequently in the day regarding their collections and deliveries.
- If a load undergoes damages/loss of cargo/rejection of stock by the customer, the customer is notified on time. The necessary procedures follow in terms of debriefing the stock with the customer. An accident report will be created by the nearest SAPS. A claim from the customer will be sent to us with regards to the damages and a claim form is then filled in and submitted to the insurance company that supports our GIT.
